IT Systems Associate (Part-Time)

Schedule: Part-time, 3 days per week, must include Fridays(approximately 20–24 hours)

Status: Non-exempt

Location: On-site

Rate: $24-$30 an hour based on experience

Position Summary

The IT Systems Associate is a hands-on, solutions-oriented role responsible for helping our staff use technology effectively and confidently. This position supports our core systems including our CRM database and Microsoft 365, troubleshoots day-to-day technology issues, and helps recommend and implement software tools that improve how we work.

This is not a managerial role. The IT Systems Associate works collaboratively across the organization and serves as a go-to resource for system questions, user support, and continuous improvement.

Key Responsibilities:

Systems & User Support

  • Provide day-to-day IT support for staff, including troubleshooting user-level hardware, software, and access issues
  • Troubleshoot hardware, software and application issues for end users
  • Assist with software deployment and upgrades
  • Support on-site and remote users
  • Support and administer Microsoft 365 tools including Outlook, Teams, SharePoint, OneDrive, and related applications
  • Help staff improve effective use of technology through informal training, documentation, and coaching

CRM & Database Support

  • Support the organization’s CRM system, including user access, data integrity, and basic configuration
  • Run queries, reports, and exports to support development, programs, and leadership needs
  • Troubleshoot CRM-related issues and coordinate with vendors or consultants as needed in collaboration with IT director

Systems Improvement & Coordination

  • Evaluate software tools and make recommendations aligned with organizational needs
  • Support implementation of new systems or enhancements, including testing and staff rollout
  • Coordinate with external IT vendors and service providers as appropriate

Security & Best Practices

  • Support basic cybersecurity best practices including password management, access controls, and data protection
  • Help ensure systems are used securely and in alignment with organizational policies in collaboration with IT team

Team Collaboration

  • Work collaboratively with IT staff to plan, implement, and support technology solutions
  • Participate in IT team meetings, projects and continuous improvement initiatives
  • Provide backup support for other IT functions when required
  • Contribute to documentation, knowledge sharing, and cross-training within the IT team

Qualifications

Required

  • Associate or Bachelor’s Degree in information technology or equivalent experience
  • 2+ years of experience in IT support, systems administration, or a related role
  • Experience working with CRM systems, including queries and reporting
  • Strong working knowledge of Windows 11 and Microsoft 365 platform applications
  • Ability to troubleshoot issues clearly and patiently with non-technical users
  • Strong organizational skills and attention to detail

Preferred

  • Experience in a nonprofit or mission-driven organization
  • Familiarity with common nonprofit CRM platforms
  • Experience working with external IT vendors or consultants
  • Knowledge of backup and disaster recovery solutions

Reporting Structure

The IT Systems Associate reports to IT manager and works closely with staff across departments.
